Job Summary:
The Finance Admin Assistant is responsible for supporting the financial operations of the warehouse by managing accounts payable, processing transactions, and ensuring accurate financial records. This role will focus on the timely and accurate processing of invoices, reconciliations, and expense tracking related to the warehouse inventory and supplies.
Key Responsibilities:

Accounts Payable Management
- Process and verify invoices related to warehouse inventory, supplies, and operational expenses.
- Review and validate supporting documents for purchases and deliveries, ensuring accuracy and compliance with company policies.

Transaction Processing
- Record all financial transactions accurately in the accounting system, ensuring they reflect warehouse operations.
- Track expenses and manage budgets for warehouse-related costs.

Vendor and Supplier Coordination
- Maintain vendor accounts, ensuring timely payments and resolving any issues related to invoices or payments.
- Communicate with suppliers to clarify and confirm details, such as pricing, payment terms, and delivery schedules.

Reporting and Analysis
- Generate reports on warehouse expenses, accounts payable aging, and vendor performance.
- Analyze data to identify cost-saving opportunities and improve financial efficiency within the warehouse operations.

Administrative Support
- Maintain organized financial records and documentation for audits and compliance.
- Provide general administrative support to the finance team as needed, such as filing, data entry, and report preparation.
Requirements:
- Education: Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- Experience: Minimum of 1–2 years of experience in accounts payable, finance, or administration, preferably in a warehouse, logistics, or manufacturing setting.

- Proficiency in accounting software (e.g., QuickBooks, SAP, or similar) and MS Office, particularly Excel.
- Strong analytical skills, with attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Effective communication skills, able to work collaboratively with warehouse and finance teams.
